Description Job Role

As directed by the Head of Learning and Skills, and in close liaison with Novus Cambria shared service departments, you will

  • Lead the implementation and maintenance of systems to monitor the performance, achievements and goals set for learner progress along with the performance of all onsite staff.
  • Accurately capture, store and report on operational and performance data for internal and external stakeholders.

  • Be responsible for the overall development and support of the Information Systems used for recording Learner information
  • Further develop internal systems to support the needs of the organisation
  • Support staff in the use of all business systems

  • Key Accountabilities

    • Perform the day-to-day administration and user support of Novus Cambria’s management information systems
    • Provide support for innovation and development projects which enhance the organisation’s management information system
    • Provide detailed reporting, analyses and interpretation of information contained within the organisation’s MIS systems.
    • Perform systems analysis, development, programming and implementation of solutions using Microsoft SQL server and Microsoft Access to support improved business processes
    • Develop, implement and maintain necessary controls and systems to capture contractual data
    • Support learners, staff and managers in the use of all Learner Information Systems, as required, to ensure that data held and processed within these systems is accurate and compliant with GDPR. To provide ad hoc data extractions as required, in accordance with GDPR, to authorised persons via SQL
    • Ensure the accuracy and timeliness of the Performance Management information reporting schedule submissions to stakeholders.
    • Assist in improving the accuracy and efficiency of all processes related to data for performance and audit purposes.
    • Produce comprehensive documentation of all systems specification and development undertaken.
    • Develop appropriate material to support and contribute to staff training for designated systems.
    • Ensure that procedures and systems meet contractual requirements
    • Contribute to the development and implementation of effective performance data at establishment and national levels
    • Contribute to the development, coordination, monitoring and evaluation of the internal funding and data audits conducted on site
    • Work with on site managers and the Head of Learning and Skills to ensure that action plans related to improving performance against funding and data targets are completed
    • Provide training and guidance to managers on performance and funding data, reporting processes and procedures
    • Maintain excellent working relationships with all stakeholders. Proactively manage and resolve issues that may arise in a timely manner
    • Quality check sessional hours and record and highlight anomalies to the appropriate manager
    • Conduct scheduled establishment audits in line with agreed policies and procedures. Provide accurate, detailed audit reports on findings and corrective action. Monitor the effectiveness of the actions to ensure the required standards are achieved.
    • Assist the Head of Learning and Skills with preparation for external audits.
    • Assist with preparation for inspection, providing data and reports as required
    • Monitor and report on procurement activities, to ensure actions are in line with agreed policies and procedures and comply with financial regulations
    • Contribute to the development and improvement of business processes.
    • To perform such other appropriate duties as required by the Head of Education in light of changing demands

    • HND/Degree or Equivalent Professional Qualification in IT/Information Systems/Computing Essential
    • Minimum Level 2 qualification in Literacy and Numeracy Essential
    • Ability to speak fluent Welsh Desirable
    • Subject to enhanced Disclosure and Barring Service (DBS) check Essential
    • Software development processes Essential
    • Relational databases and SQL Essential
    • Good working knowledge of Excel formulas and functions Essential

    • Able to ensure that internal audit documentation is fit for purpose and is used to identify and test all relevant processes, procedures and documents required by funding bodies for external audits
    • Able to ensure that internal audits are conducted as scheduled and produce effective action plans that are completed in a timely manner.
    • Able to design action plans to improve specific performance issues, completed within planned timescales and are effective.
    • Able to use MS SQL Server tables, views, triggers and stored procedures within multi-user database applications
